Circular Materials™ is a trading name operated by Matthew Quinn Transport, the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

• Contact and business details you submit in a collection request (name, business name, email, phone, address).
• Collection and service records (materials, weights, dates, sites, notes).
• Photographs you upload to Material Reality™ and the resulting material analysis.
• Technical data such as IP address, device and browser information, and cookie data.

• Contract — to quote, schedule and deliver collections and reporting.
• Legitimate interests — to operate, secure and improve the service, and to produce anonymous, aggregated material intelligence and benchmarking.
• Legal obligation — waste duty of care records, waste transfer notes, tax and accounting records.
• Consent — non-essential cookies and any marketing email you opt into.

We share data only where needed: recovery and reprocessing partners for the materials we move, regulators where the law requires it, and service providers who host our website, database and photo analysis. We do not sell personal data.

Photos submitted to Material Reality™ are processed by our AI provider to return a material identification. Benchmarking and platform learning use anonymised, aggregated data only.

Some providers process data outside the UK. Where they do, transfers are covered by UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.

• Collection requests that don't become customers: 24 months.
• Customer and duty of care records: a minimum of 2 years for waste transfer notes, and 6 years for accounting records.
• Material Reality™ photos: retained while linked to your account or request, then deleted or anonymised.

You have the right to access, rectification, erasure, restriction, portability, and to object to processing based on legitimate interests. You can withdraw consent at any time. Email hello@circularmaterials.co and we will respond within one month.

You can also complain to the Information Commissioner's Office (ico.org.uk).

Data is held in access-controlled systems with encryption in transit. Access is limited to people who need it to run collections and the platform.
